Summary

The entry level Travel Assistant position provides support to the Travel and Lifestyle Consultants while learning the company policies and procedures, general day to day and travel arrangement processes.

Essential Functions

  1. Become familiar with the “Core Process”
  2. Establishes, develops, maintains and updates filing systems
  3. Scanning and faxing of documents as needed
  4. Answers incoming phone calls in support of receptionist.
  5. Attend vendor and office meetings take notes as assigned
  6. Learn to navigate CRM in order to utilize the database to create itineraries and update end of day lists
  7. Learn Sabre (GDS System) in order to build profiles, run hotel commission tracking, complete client billing, understand and forward travel arrangements as needed
  8. Organize and prioritize regularly requested tasks as given
  9. Work independently and within a team on special nonrecurring and ongoing projects
  10. Types and designs general correspondences, proposals memos, charts, tables, graphs, maps etc.
  11. Proofreads itineraries for spelling, grammar, format, and layout, making appropriate changes
  12. Print, assemble, and bind completed itineraries
  13. Re-confirm flights, hotels, transportation, restaurants, etc.
  14. Become familiar with geography
  15. Proficient in researching the internet
  16. Complete assigned errands or deliveries outside of the office as needed
  17. Complete other duties as assigned

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners and fax machines.

Position Type and Expected Hours of Work

Full-time position, days and hours of work are Monday through Friday, 9:00 a.m. to 5:30 p.m.

No travel is expected for this position.

Required Education

  • Associates degree

Preferred Education and Experience

  • Bachelor’s degree
  • One year of administrative experience
