With ongoing growth and new opportunities ahead, we’re seeking a motivated and detail-oriented Purchasing and Quoting Specialist to join our team.

Position Overview
The Purchasing & Quoting Specialist supports sales and operations by preparing customer quotations, sourcing materials from approved suppliers, and managing purchasing activities. This role works closely with customers, vendors, and internal teams to ensure accurate pricing and timely order fulfillment.

Schedule: Monday–Friday, 9:00AM- 5:30PM

Core Responsibilities

  • Quoting & Estimating

    • Review customer requests, drawings, or blueprints to determine technical needs and scope.
    • Analyze material costs, labor, and lead times.
    • Calculate profit margins and ensure compliance with the company’s pricing libraries.
    • Prepare and present detailed, accurate quotations to customers and sales representatives.
    • Track win/loss ratios on past quotes and report data to management.
  • Purchasing & Procurement

    • Issue Requests for Quotations (RFQs) to vendors and subcontractors.
    • Compare bids based on pricing, technical compliance, delivery timelines, and vendor reliability.
    • Assist with supplier communications and obtain pricing, lead time, and warranty information from vendors.
    • Create, process, and issue purchase orders (POs) utilizing ERP/MRP systems.
    • Maintain vendor relationships and evaluate supplier performance.
  • Tracking & Logistics

    •  Track and expedite inbound materials to prevent project delays.
    • Act as a liaison between the vendor, logistics, and internal departments to resolve delivery or shipping issues.
    • Review vendor invoices for accuracy and work with Accounts Payable to clear discrepancies. 

Core Competencies & Qualifications

 

  • Technical Aptitude: Ability to learn how to interpret technical drawings and specifications. Familiarity with manufacturing or electronics industry processes is a plus.
  • System Proficiency: Basic proficiency with Microsoft Office, particularly Excel. Experience with ERP/MRP systems is a plus but not required.
  • Analytical & Math Skills: Capability to quickly calculate taxes, discounts, and margins.
  • Communication: Excellent written and verbal skills for negotiating with vendors and clarifying requirements with customers.
  • Education & Experience: High school diploma or GED required. Associate’s or Bachelor’s degree in Business, Supply Chain, Engineering, or a related field is a plus. Previous experience in customer service, administration, purchasing, manufacturing, or office support is preferred but not required. We are willing to train the right candidate.
