Office Manager

Overview
We are seeking a highly organized and proactive Office Manager to join our team. This key role serves as the central point for administrative operations, front desk reception, registration processes, human resources support, and treasury operations. The Office Manager plays an essential role in ensuring the efficient day-to-day operation of the organization while providing exceptional service to students, staff, families, and visitors.

The ideal candidate is detail-oriented, resourceful, and personable, with strong organizational and communication skills. This individual will oversee office operations, maintain accurate student and employee records, coordinate registration activities, support HR functions, accurately account for school funds, and help cultivate a welcoming, professional, and productive work environment.

Responsibilities

  • Greet visitors, manage incoming calls, and direct inquiries with professionalism and enthusiasm.
  • Oversee registration processes for students or participants, ensuring accurate data entry and record maintenance using various platforms.
  • Provide comprehensive administrative support to the HR department, including onboarding new staff, maintaining personnel files, and assisting with recruitment activities.
  • Support educational administration tasks such as scheduling meetings, coordinating events, and assisting with schoolwide activities.
  • Enter internal accounting data into required platforms.
  • Manage office supplies, equipment, and facilities to ensure a well-organized and welcoming environment.
  • Collaborate with university or organizational teams to facilitate smooth communication between departments and external partners.
  • Maintain confidentiality of sensitive information while ensuring compliance with institutional policies.

 

Experience

  • Experience in office management or administrative roles is preferred.
  • Customer-service mindset, collaboration, and flexibility are a must.
  • Basic computer skills are required.  Working knowledge of or proficiency in Microsoft Word and Excel is preferred but not required.
  • A willingness to learn and grow professionally is required.
  • Familiarity with registration systems like Ellucian or comparable student information platforms.
  • Excellent interpersonal skills with the ability to communicate clearly across diverse audiences.
  • Demonstrated ability to handle multiple priorities efficiently while maintaining attention to detail.
  • Verbal and written English communication skills are required.  Bilingual (English/Spanish) proficiency is preferred.
