Front Desk Receptionist
Location: Wilmington, DE
Job Type: Part-Time (10–20 hours per week)
Compensation: $15.00–$15.50 per hour
Position Summary
Francis Optimal Performance Chiropractic & The Spine Spa is seeking a friendly, organized,
and dependable Front Desk Receptionist to serve as the first point of contact for our patients
and visitors. This role is essential in creating a welcoming, professional, and efficient office
environment while supporting the administrative and operational needs of our chiropractic and
wellness practice.
The ideal candidate is compassionate, detail-oriented, and thrives in a fast-paced environment.
They enjoy helping others, possess excellent communication skills, and are able to multitask
while maintaining accuracy and professionalism.
Duties & Responsibilities
Patient Reception & Customer Service
● Welcome patients and visitors with a warm, friendly, and professional attitude.
● Answer incoming phone calls, emails, and patient inquiries promptly and courteously.
● Schedule, confirm, and reschedule appointments for chiropractic, massage therapy, and
spa services to maximize provider schedules.
● Check patients in and out while ensuring accurate demographic and insurance
information.
● Maintain a positive patient experience by communicating appointment delays and
keeping providers informed of scheduling changes.
● Assist patients with general questions regarding services, billing, insurance, and office
policies.
● Provide compassionate assistance to patients who may be in pain or require additional
support.
● Offer heat or ice therapy to patients prior to chiropractic treatment when appropriate.
Administrative Responsibilities
● Maintain accurate patient records within the electronic health record (EHR) or practice
management system.

● Prepare and organize patient paperwork and ensure charts are complete before
appointments.
● Scan, upload, and file medical records and other documentation accurately.
● Open, sort, scan, and distribute incoming mail and office correspondence.
● Process payments, issue receipts, and balance the cash drawer as assigned.
● Assist with insurance forms, referrals, and patient financial paperwork.
● Maintain patient confidentiality and comply with all HIPAA regulations.
Office Operations
● Maintain a clean, organized, and welcoming reception area.
● Restock supplements, office supplies, and patient forms as needed.
● Assist with inventory management and notify management when supplies need to be
reordered.
● Support providers and management with administrative tasks and special projects.
● Participate in office emergency procedures when necessary.
● Attend staff meetings and training sessions.
● Assist with other duties as assigned to support daily office operations.
Qualifications
Required
● High school diploma or GED.
● Minimum one year of customer service experience.
● Strong verbal and written communication skills.
● Excellent organizational and multitasking abilities.
● Proficiency with Microsoft Office (Word, Excel, Outlook).
● Comfortable learning electronic health record (EHR) and scheduling software.
● Professional appearance and positive attitude.
● Ability to maintain confidentiality and handle sensitive patient information.
● Dependable with reliable transportation.
Preferred
● Experience working in a medical, chiropractic, physical therapy, dental, or wellness
office.
● Experience with insurance verification and medical scheduling.
● Medical office administration training or certification.
● Familiarity with electronic health records and practice management software.
