Facility Contractor Coordinator
Location: Irving, TX 75038
Duration: 12 Months Contract
Shift: Monday – Friday | 8:00 AM – 4:30 PM
 

Job Summary

Facility Contractor Coordinator to support facility operations by coordinating service requests, managing contractor activities, maintaining records, and ensuring efficient communication between internal departments and external service providers. This role requires strong organizational, administrative, and customer service skills, along with the ability to manage multiple priorities in a fast-paced environment.

 

Key Responsibilities

Receive, review, and route Facilities Service Requests to the appropriate personnel for resolution.

Coordinate facility repairs, maintenance requests, and equipment service activities.

Process, track, and maintain purchase requests and departmental expenditure records.

Maintain files and records for approved purchase orders, vendor agreements, and service contracts.

Review contractor invoices, service documentation, and timecards for accuracy and compliance.

Coordinate onsite third-party contractors and service providers to ensure work is completed as scheduled.

Track and maintain contractor service records, documentation, and contract-related information.

Issue, collect, and monitor facility keys while maintaining accurate key control records.

Coordinate with internal departments, vendors, suppliers, and contractors to ensure required services and materials are delivered on time.

Maintain accurate facility documentation, reports, and departmental records.

Support daily administrative functions for the Facilities department.

Provide exceptional customer service and maintain positive working relationships with employees, contractors, vendors, and customers.

Assist with scheduling meetings, service activities, and contractor access requirements.

Ensure compliance with company policies, procedures, and facility operational standards.

 

Required Qualifications

High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.

Previous experience in facilities coordination, administrative support, contractor management, customer service, or office operations.

Strong organizational and multitasking abilities.

Excellent verbal and written communication skills.

Experience maintaining records, purchase orders, invoices, and service documentation.

Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.

Ability to work effectively with internal teams, vendors, contractors, and external suppliers.

Strong attention to detail and problem-solving skills.

 

Preferred Qualifications

Experience in facilities management, property management, maintenance coordination, or contractor administration.

Knowledge of purchase order processing and invoice reconciliation.

Experience coordinating third-party service providers and contractors.

Familiarity with facility service request systems and record management processes.

Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
