Release of University Photographs

A. All photographs that have been taken by the University photographer, upon the request of the University, in exchange for payment by the University, or those photos of which the University has possession, are property of the University.

B. Photographs may not be released to individuals or entities outside of the University without the approval of the Associate Vice President, University Marketing and Communications, or his/her designee, in collaboration with the University photographer. The Associate Vice President, University Marketing and Communications, or his/her designee, may consult with the Vice President and General Counsel for a final decision when necessary.

C. If any outside individual wishes to obtain University photographs or a University employee receives a request from an outside party for release of University photographs, he/she must submit the request in writing to the Associate Vice President, University Marketing and Communications, or his/her designee.

D. All photograph requests must include:

  • the name of the party requesting the photograph(s),
  • the reason the photograph(s) is/are being requested,
  • the content of the photograph(s),
  • the date upon which the photograph(s) is/are needed,
  • a recommendation as to whether a fee should be charged for the use or production of the photograph(s) and/or whether the party requesting the photograph(s) has offered to pay for their use, and
  • specific wording as to how the photograph will be listed.

E. Requisitioner may submit a memo stating the information listed above or click on the available link to download a PDF version of the University Photograph Release form.

F. The Associate Vice President, University Marketing and Communications, or his/her designee, may waive these procedures in connection with requests for University photographs from newspapers and other media outlets.
