Spatial Front, Inc. (SFI), a two-time USA Today Top Workplaces awardee and Washington Top Workplaces honoree, is seeking a highly capable, detail-oriented, and trustworthy Executive Assistant to provide direct support to senior executive leadership.

This role is designed to reduce the executive’s day-to-day administrative burden by managing a wide range of responsibilities, including scheduling, communications, research, organization, and confidential matters. The ideal candidate is proactive, highly organized, discreet, and thrives in a fast-paced environment where priorities may shift quickly.

This is a fully onsite position based in Arlington, VA. The successful candidate must be highly responsive during working hours, able to anticipate needs, take ownership, and handle sensitive information with the highest level of confidentiality. 

Key Responsibilities

  • Provide direct administrative support to senior executive leadership. 
  • Manage calendars, schedules, appointments, deadlines, reminders, and follow-up items. 
  • Coordinate meetings, calls, travel, reservations, and logistics. 
  • Track open items and ensure timely follow-through until completion. 
  • Organize and maintain personal and professional priorities, documents, notes, records, and recurring obligations. 
  • Manage routine administrative matters such as forms, renewals, subscriptions, memberships, registrations, and statements. 
  • Track due dates, confirmations, account activity, and follow-ups in an organized and confidential manner. 
  • Maintain structured records, trackers, checklists, and documentation. 
  • Draft, review, and send emails, communications, summaries, and memos as requested. 
  • Conduct research, summarize findings, compare options, and prepare recommendations. 
  • Leverage AI tools (e.g., ChatGPT, Gemini, and similar platforms) to enhance productivity, organization, and research. 
  • Coordinate with internal teams, vendors, service providers, and external stakeholders. 
  • Handle sensitive and confidential information with professionalism and sound judgment. 
  • Assist in prioritizing tasks to reduce executive workload and ensure nothing falls through the cracks. 
  • Support special projects, operational tasks, and ad hoc requests. 
  • Remain responsive to urgent or time-sensitive matters, including occasional support outside standard business hours when needed. 

Requirements

Key Requirements

  • Bachelor’s degree preferred. 
  • Recent graduates are encouraged to apply. 
  • 0–3+ years of experience in executive support, administrative support, operations, project coordination, research, or a related role. 
  • Must be able to work fully onsite in Arlington, VA. 
  • Must be legally authorized to work in the United States. 
  • Highly detail-oriented, organized, dependable, and responsive. 
  • Strong ability to manage multiple tasks, deadlines, and follow-ups simultaneously. 
  • Strong written and verbal communication skills. 
  • Ability to work independently, take initiative, ask thoughtful questions, and follow through to completion. 
  • Comfortable handling sensitive and confidential information. 
  • Proficient with technology, productivity tools, and AI platforms (e.g., ChatGPT, Gemini). 
  • Strong work ethic and willingness to go the extra mile to support executive priorities. 
  • Ability to learn quickly and adapt to changing priorities. 

Desired Skills

  • Experience supporting executives, founders, or senior leaders. 
  • Interest in AI tools, automation, productivity systems, and personal organization. 
  • Familiarity with tools such as ChatGPT, Gemini, Claude, or Microsoft Copilot. 
  • Background or interest in financial markets, investing, trading, or market research. 
  • Experience managing calendars, travel, email, documents, vendors, and administrative workflows. 
  • Strong research and summarization skills. 
  • Sound judgment in prioritizing tasks and knowing when to escalate. 
  • Ability to operate effectively in a high-trust, high-responsibility role. 

Additional Information

  • Work Location: Fully onsite in Arlington, VA. 
  • Availability: Occasional support outside standard business hours may be required. 
  • Clearance/Screening: Candidates will undergo a comprehensive background check (including criminal history, education, employment verification, and credit history).
