Job Title: Administrative Assistant
Location: Moline, IL – 61265

Duration: 24 Months Contract

 

Key Requirements:

  • Proficiency with Microsoft Office, including strong Excel skills 
  • Excellent communication and organizational abilities 
  • SAP experience preferred but not required 
  • Recent college graduates considered if all other requirements are met 

Job Responsibilities:

  • Create, update, and maintain a wide range of Microsoft documents, databases, and departmental systems, providing best practice support as needed 
  • Schedule appointments, arrange meetings/conferences, and organize travel plans to ensure efficient use of time for senior colleagues or executives 
  • Prepare routine correspondence, emails, meeting minutes, and reports for review
    and approval by senior staff 
  • Produce moderately complex documents using standard office software, devices, and applications; gather and summarize data for reporting purposes 
  • Answer phone calls and assist callers or email/mail inquiries regarding
    information requests, directing more complex matters to the appropriate
    contacts 
  • Regularly initiate contact internally and externally to convey requests, provide
    instructions, or obtain information on behalf of senior colleagues 
  • Welcome visitors and respond promptly and accurately to a variety of inquiries or issues 
  • Develop a thorough knowledge of the organization’s policies, procedures, relevant
    regulatory codes, and codes of conduct to ensure full compliance at all times; seek supervisor approval for any process exceptions 
  • Participate in assessment, development planning, training, and coaching activities to continue building professional capabilities and understanding of relevant technology and industry best practices 
  • Support procurement and purchasing activities by following established procedures
