This part-time permanent position plays a vital role in keeping our team of 18 running smoothly across two international offices. The ideal candidate is confident, professional, takes ownership of space, and brings a calm and mature presence to our creative and fast-paced architectural environment.<\/p>\n<p>\u00a0<\/p>\n<p>We see this role as a strong entry point for individuals with an architectural or design background who are interested in growing within our firm. The Office Associate may begin with a focus on office coordination, access management, filing, and general administrative support. After approximately one year of strong performance and demonstrated understanding of firm operations, there is potential to transition into a Project Associate role, taking on more project-based coordination responsibilities.<\/p>\n<p>\u00a0<\/p>\n<p><strong>Key Responsibilities<\/strong><\/p>\n<p><strong>Office &amp; Administrative Operations<\/strong><\/p>\n<p>\u25cf Serve as the first point of contact for guests and deliveries<br \/>\u25cf Manage mail distribution and coordinate messenger or courier services<br \/>\u25cf Answer main phone line and direct calls professionally<br \/>\u25cf Maintain office organization, shared spaces, and supply areas<br \/>\u25cf Track and reorder office supplies, kitchen items, and maintenance needs<br \/>\u25cf Coordinate M+S office building access, visitor registration, and basic IT support requests<br \/>\u25cf Coordinate DOB filing, building access, and scheduling for site visits and inspections<br \/>\u25cf Support bidding coordination, including document distribution and tracking<br \/>\u25cf Maintain and water plant wall and assist with light upkeep of office aesthetics<br \/>\u25cf Support document printing, filing, and scanning as needed<br \/>\u25cf Ensure the office remains clean, organized, and welcoming<\/p>\n<p>\u00a0<\/p>\n<p><strong>Team &amp; Project Support<\/strong><\/p>\n<p>\u25cf Support internal scheduling, meeting coordination, and room setup<br \/>\u25cf Assist with onboarding\/offboarding logistics (e.g., desk setup, key returns)<br \/>\u25cf Track team certifications and coordinate required trainings<br \/>\u25cf Assist with internal events, lunches, birthdays, and office celebrations<br \/>\u25cf Coordinate deliveries, errands, and purchasing of minor office furnishings or snacks<br \/>\u25cf Monitor task status and help follow up on to-dos for office readiness<br \/>\u25cf Coordinate Principal timesheets in BQE based on Google Calendar entries<br \/>\u25cf Review timesheet submission status and support accurate time allocation across the team<\/p>\n<p>\u00a0<\/p>\n<p><strong>Coordination &amp; Reporting<\/strong><\/p>\n<p>\u25cf Report directly to the firm\u2019s Managing Principal, Hannah Sebastian De Mayta<br \/>\u25cf Coordinate day-to-day task flow with Operations Manager Jodi Ann Roye-Tudor<br \/>\u25cf Provide weekly summary reports each Thursday outlining completed work<br \/>\u25cf Communicate proactively if scheduling or task adjustments are needed<\/p>\n<p>\u00a0<\/p>\n<p><strong>Marketing &amp; Branding Support<\/strong><\/p>\n<p>\u25cf Coordinate with the BIM team for business cards and marketing materials<br \/>\u25cf Research and coordinate the purchase of firm-branded swag and merchandise<br \/>\u25cf Plan and coordinate office holiday decorations and events<\/p>\n<p>\u00a0<\/p>\n<p><strong>IT &amp; Office Maintenance<\/strong><\/p>\n<p>\u25cf Provide basic IT support for team members (laptops, printer, WiFi, etc.)<br \/>\u25cf Research and secure Principal approval for office decor and equipment and coordinate installation<br \/>\u25cf Run office errands as needed (printing supplies, containers, etc.)<\/p>\n<p>\u00a0<\/p>\n<p><strong>Qualifications<\/strong><\/p>\n<p>\u25cf 2+ years of experience in office management, administrative coordination, or studio support<br \/>\u25cf Architectural background or experience in architecture, construction, or project management preferred<br \/>\u25cf Strong communication and multitasking skills<br \/>\u25cf Professionalism and maturity in handling confidential or sensitive matters<br \/>\u25cf Reliable, consistent, and proactive with strong attention to detail<br \/>\u25cf Familiarity with Google Workspace, Trello, and basic IT troubleshooting a plus<\/p>\n<p>\u00a0<\/p>\n<p><strong>Why Join Us?<\/strong><\/p>\n<p>M+S Architects &amp; Engineers D.P.C.<strong>\u00a0<\/strong>is a diverse and growing firm recognized for high-quality design, restoration, and compliance-focused work across New York City and Lima.
