We\u2019d love to talk to you!<br \/>\u00a0<\/p>\n<p><strong>Role Summary<\/strong>\u00a0<br \/>As the Executive Assistant to the COO and\u00a0SVP\u00a0of\u00a0Branding\u00a0you will provide high-level administrative and operational support ensuring smooth day to day execution. This role requires strong\u00a0organization\u00a0discretion and follow-through. You will manage scheduling travel\u00a0expenses\u00a0meeting\u00a0logistics\u00a0and support operating cadences including meeting\u00a0minutes\u00a0weekly updates and SOP maintenance.\u00a0<\/p>\n<p>\u00a0<\/p>\n<p><strong>What\u00a0you\u2019ll\u00a0be doing:\u00a0<\/strong>\u00a0<\/p>\n<p><strong>Administrative and Executive Support<\/strong>\u00a0<\/p>\n<ul>\n<li>Manage calendars\u00a0maintaining\u00a0a clean view at least 2 weeks out at a time.\u00a0<\/li>\n<li>Schedule meetings and create calendar invitations ensuring acceptance book conference rooms and provide Zoom links where needed.\u00a0<\/li>\n<li>Book flights and hotels for business-related travel and support itinerary planning as needed.\u00a0<\/li>\n<li>Keep track of business-related purchases and expenses and coordinate with\u00a0Accounting\u00a0for reimbursement or payment.\u00a0<\/li>\n<li>Prepare\u00a0documents\u00a0presentations and reports for the executives including PowerPoint and Excel.\u00a0<\/li>\n<li>\u00a0Mail and ship packages via USPS or FedEx as needed.\u00a0<\/li>\n<li>\u00a0Maintain\u00a0a high level\u00a0of confidentiality and handle sensitive information with professionalism.\u00a0<\/li>\n<\/ul>\n<p><strong>Meetings and Coordination<\/strong>\u00a0<\/p>\n<ul>\n<li>Attend meetings with executives and write meeting minutes as requested\u00a0<\/li>\n<li>Coordinate meeting\u00a0logistics\u00a0including setup note-taking action items and follow-ups\u00a0<\/li>\n<li>Order meals for meetings as needed\u00a0<\/li>\n<li>Support department celebrations outings and internal moments as needed\u00a0<\/li>\n<li>Support group gifting as needed (birthdays baby\u00a0showers\u00a0housewarmings etc.)\u00a0<\/li>\n<li>Serve as back-up for Talent Management administrative support and\u00a0assist\u00a0with corporate event planning and office administrative tasks as needed\u00a0<\/li>\n<\/ul>\n<p><strong>Ops and Branding Support<\/strong>\u00a0<\/p>\n<ul>\n<li>Manage and lead tasks within the Ops and Branding teams and drive follow-through\u00a0<\/li>\n<li>Support ad hoc and special projects including research coordination and execution support\u00a0<\/li>\n<li>Maintain and update SOPs to keep workflows current documented and repeatable\u00a0<\/li>\n<\/ul>\n<p><strong>Operating Cadence and SOP Expectations<\/strong>\u00a0<\/p>\n<ul>\n<li>Check in with the COO and VP of Branding before leaving work to confirm last-minute needs\u00a0<\/li>\n<li>Provide updates on projects currently in motion\u00a0<\/li>\n<li>Send weekly updates via Lattice\u00a0<\/li>\n<li>Remind the COO and VP of Branding of interviews and important meetings\u00a0<\/li>\n<\/ul>\n<p>\u00a0<\/p>\n<p><strong>What you bring to the table:\u00a0<\/strong>\u00a0<\/p>\n<ul>\n<li>Strong organizational skills and ability to manage multiple priorities in a fast-paced environment\u00a0<\/li>\n<li>Proactive mindset strong judgment and ability to\u00a0anticipate\u00a0needs\u00a0<\/li>\n<li>Strong written and verbal communication skills and comfort working cross-functionally with senior leaders\u00a0<\/li>\n<li>Proficiency\u00a0with Outlook PowerPoint and Excel and comfort learning new systems\u00a0<\/li>\n<li>High discretion professionalism and reliability with confidential information\u00a0<\/li>\n<\/ul>\n<p><strong>Preferred Qualifications\u00a0<\/strong><\/p>\n<ul>\n<li>Prior executive support experience including calendar management travel coordination and meeting\u00a0logistics\u00a0<\/li>\n<\/ul>\n<p><strong>California pay range<\/strong><\/p>\n<p>$75,000 &#8211; $85,000 USD<\/p>\n<p><strong>Our Benefits:<\/strong><\/p>\n<ul>\n<li>100% of your health, dental and vision insurance monthly premiums paid by us!\u202f\u00a0<\/li>\n<li>Flexible PTO because we respect the need for work\/life harmony\u202f\u00a0<\/li>\n<li>Company matching 401(k)\u202f\u00a0<\/li>\n<li>Vacation reimbursement and health &amp; wellness subsidy programs\u202f\u00a0<\/li>\n<li>Tuition reimbursement\u202f\u00a0<\/li>\n<li>Matching charitable donations to the nonprofit organization of your choice\u202f\u00a0<\/li>\n<li>Company-wide monthly celebrations &#8211; lunch is on us!\u202f\u00a0<\/li>\n<li>Dog-friendly workplace, yes!
