ADMINISTRATIVE ASSISTANT II
OFFICE OF THE COLUMBIA COUNTY TREASURER

Position Summary.
Full-time position (37.5 hrs/wk) with Columbia County Treasurer’s Office.  Responsible for a variety of complex administrative clerical duties, answering phones, helping customers, printing checks, preparing daily deposits and cash handling. Ability to efficiently operate Microsoft Office with emphasis in Excel and Word.  Associate degree from an accredited college, university or technical school in one of the Secretarial Sciences and a minimum of two (2) years of responsible office experience. Starting wage: $23.175 per hour. Essential Duties and Responsibilities.
1.Prepare daily deposit and/or take it to the bank when necessary
2.Maintains daily cash report
3.Maintains and ensures confidentiality
4.Performs a variety of computer tasks using various software
5.Performs a variety of clerical and administrative tasks as necessary
6.Performs administrative and office support to the County Treasurer and Chief Deputy Treasurer
7.Maintains current knowledge of technology and updates to currently installed programs
8.Assist with maintaining the departmental website
9.Work with the Accounting Department on special projects as required
10.Handles large amounts of cash and checks
11.Act as a backup telephone contact for initiating account transfers and ACH transactions with banking institutions and the State Investment Pool
12.Pick up, sort and process mail and answer correspondence of a complex nature
13.Receipt incoming payments
14.Properly answer telephone, forward calls and/or take accurate messages
15.Provide courteous, efficient service and information to customers on the telephone and at the counter
16.Retrieve tax and assessment information from the computer and/or tax rolls and receipts
17.Maintain accurate and orderly files and records
18.Sort, distribute and print vendor and payroll checks
19.Responsible for submitting payroll and vendor ACH amounts to bank
20.Works considerable overtime during peak workload times

Educational Requirements.
1.Associate Degree from an accredited vocational college, university or technical school in one of the Secretarial Sciences and a minimum of two (2) years of responsible office experience
2.Computer experience and proficiency in common software programs required.
 

Knowledge, Skills, Licensure and Experience Required.
1.Ability to efficiently operate Microsoft Office with emphasis in, Excel and Word
2.Ability to understand and effectively carry out verbal and written instruction
3.Ability to handle large amounts of cash and checks efficiently
4.General knowledge of land descriptions and maps desirable
5.Ability to meet deadline and work effectively under pressure
6.General geographical knowledge of Columbia County desirable
7.General knowledge of assessment and taxation procedures desirable
8.Ability to establish and maintain effective, ethical public working relationships and maintain positive co-operative attitude with public and staff members
9.Ability to write legibly
10.Considerable knowledge of modern office practices and procedures
11.Considerable knowledge of County and departmental policies
12.Ability to perform a variety of complex clerical and administrative tasks
13.Ability to deal with the public in difficult situations
14.Ability to assume responsibility
15.Knowledge of business correspondence format, grammar, English and Spelling

16.Knowledge of the basic principles, procedures, and systems of filing with the ability to organize and maintain filing systems and other records
17.Performs responsibilities and duties in the absence of the Treasurer and Chief Deputy when assigned and applicable
18.Ability to work with a minimum of supervision once on-the-job training is complete
19.Must be bondable
20.Must be willing to work considerable additional hours when necessary
21.Accurately type 35 words per minute
22.Ability to learn assigned tasks and willingness to conform to present standards of the Treasurers office
23.Ability to maintain a positive attitude and cooperate “team” spirit
24.Ability to meet schedules and deadlines
25.Ability to operate the following office machines:
✓Personal Computer
✓Fax machine
✓Typewriter
✓Calculator
✓Check signer/printer
26.Must have a valid Wisconsin Drivers’ license and reliable vehicle
27.Ability to use a motorized vehicle
28.Maintain automobile liability insurance

Physical Requirements.
1.Ability to lift/carry/push/pull at least 25 pounds
2.Frequent bending, lifting, twisting, stretching, squatting, sitting, standing and walking
3.Visual acuity
4.Ability to hear normal conversation
5.Ability to communicate in a clear manner
6.Good manual dexterity of hands and fingers
