Mission Statement
The University Copy Center is committed to supporting the educational mission of the University community with reliable, high quality services to meet its printing and copying needs. In pursuit of this mission, the Copy Center provides the most cost-efficient desktop publishing, duplicating, and printing services with benefits such as flexibility, confidentiality, security, convenience, control, and a faster turnaround time. The information in this Web site is intended to help you plan your printing materials. Tips are enclosed which will help avoid communication problems and delays. The list of products and services indicate the wide variety offered.
Focus of the Copy Center
Our customers are our number one priority. All of our activities are directed toward our mission statement on a daily basis. We recognize that our most important asset is our staff. We want the Copy Center to be an enjoyable, pleasant place to visit and work. We endeavor to operate as a team while acknowledging the individual.
How the Copy Center Operates
The Copy Center recovers cost by allocating them to the user departments through a CHARGE-BACK SYSTEM. Charges are based on supplies and materials. Departments utilizing the services are sent a monthly summary, which shows the exact cost of their printing jobs.

Pre-press proofs (bluelines) will be provided upon request. A Proof Review Form will accompany the proof and must be picked up, reviewed, and returned within 24 hours in order for printing requests to be completed on schedule. If corrections are made and revised proofs are desired, request must be made when proofs are returned. The Copy Center cannot be held responsible for errors under the following conditions: if the work is printed per customer's "OK"; if changes are communicated verbally; or, if customer has instructed the Copy Center to proceed without returning proofs.
Desktop publishing services include creating, composing, and designing original layouts for fliers, invitations, brochures, program booklets, tickets, etc.
- Before submitting a document for typesetting, make sure it is a final copy (a copy that has been approved by everyone responsible for the content, especially the department chair, director, or dean, if necessary). Any changes made will cause delays and added expenses.
- If any of the following items are to be included in your final document, they should accompany your document when submitted:
- Photos
- Illustrations
- Picture captions
- Graphics
PREPARATION OF MATERIALS SUBMITTED
A requisition not only authorizes the job to be billed to your department, but also provides us with important information about your wishes. We will need to know who is requesting the work and appropriate phone/fax number, budget codes, and date the finished product is needed. Convenient check boxes tell us your paper choice, if you want your copies to be two-sided or one-sided, collated, stapled, folded, cut, etc., and the number of finished pieces you need. Another area is provided for your description/title of the job.
- Provide clean originals. Every effort is made to reproduce quality copies from your originals.
- Information must be clearly typed on white paper. Originals on color paper, particularly dark colors such as red, gold, blue, and green, may be difficult (and sometimes impossible) to reproduce.
- Avoid color ink on originals. Black ink reproduces the best. Colors of ink, such as a blue pen used for signature, may be difficult to pick-up.
- Do not piece together originals. Loose edges can cause originals to be misfed as they pass through the copier's automatic document handler. "Make-ready" copies may be substituted for originals that are pieced together. There is an additional charge for this procedure.
- All corrections must be clear and neat. Light or broken letters will copy poorly.
- There must be a minimum of 1/2" margin at the top and bottom and 1/4" margin on each side of the page. Print that extends into this margin may not be picked up. Originals without this margin may need a slight reduction in order to fit the image on the paper. This may slow the process of your job.
- Originals must be submitted, numbered, and unbounded so that they can be properly arranged should the pages be out of order. Pages in books are numbered odd numbers on the right side (recto) and even numbers on the left side (verso).
- All forms must be completed and signed by department heads prior to submission for printing.
- Materials that do not meet the above specifications will not be accepted. All jobs will be printed on both sides of the sheet unless otherwise specified and approved.
- The material in your job must not contain any matter that is libelous, obscene, scandalous, or invades any person's right to privacy or other personal rights.
- Mark changes clearly in the margins with pen or pencil using proofreader's marks.
- If revisions are extensive, completely retype the paragraph or item on a separate 8 1/2" x 11" sheet. Mark insert "A," "B," etc., and indicate on the proof where it should be inserted.
- Be sure to sign your name on the Customer Proof Form.
- If the number of changes or corrections on the proof are extensive, you will be given a second proof for your approval. When reading the second proof, compare it with the first to be certain:
- that the corrections you indicated the first time have been made, and
- no other errors were made when the mistake was corrected.
- Be sure to read the entire paragraph in which there are corrections, since new errors can occur when your changes are made.
- A printing job request form must be fully completed for each job submitted and must include budget codes.
- All published and copyrighted materials must be presented with written approval of the copyright holder. This can be obtained by written request to the person holding the copyright. (Contact the University Bookstore for assistance.)
- Turnaround time varies depending upon complexity of the job and our schedule load. It is important that you follow through with established deadlines.
- Delays in submitting jobs as well as extensive changes will result in rescheduling the completion date.
- Peak periods are usually August 1 to October 1 and January 6 to February 28. Priority will be given to instructional and registration materials.
- Because the beginning of each semester is a high demand time for printing requests, please plan to submit your large volume routine requests prior to the beginning of the semester. Such items as course outlines, manuals, reports, syllabi, booklets, etc., of two or more pages should be submitted as soon as possible prior to the beginning of the semester.
- If you cannot submit your request until the beginning of the semester, please allow a three-day turn-around. This schedule is subject to change based on workload and unexpected delays.
THE FOLLOWING DEFINITIONS PROVIDE THE BASIS FOR BUSINESS TRANSACTIONS BETWEEN YOU AND THE COPY CENTER:
- Estimate: An estimate is a non-binding "ball park" price based on your verbal specifications. All prices are based on material costs at the time of the estimate.
- Quotation: A quotation is a binding, written agreement based on your specifications. All prices are based on material costs at the time of the quotation.
- Cancellations: Orders placed can be canceled, however, the Copy Center must be compensated for work completed and supplies used.
- Alterations: Alterations represent work performed in addition to the original specifications. Such work will be charged at current rates.
- Proof: You are responsible for proofing your job. If a proof copy is necessary, one will be provided for your approval. Corrections are to be made on the proof and returned with the Proof Form, signed by you. The Copy Center is not responsible for errors if instructed to proceed without returning the proofs with indication of changes required.
- Over-runs and Under-runs: Every effort will be made to provide you with the exact amount ordered. However, a reasonable amount of over-run and under-run must be expected if your job is complex.
- Production Schedules: A completion date will be established when you submit your job or by prior arrangement. Where production schedules are not adhered to by you, the completion date will be subject to change.
- Customer Provided Materials: If you provide paper stock, envelopes, inks, camera-ready copy, color separations, or other materials, they must be suited for our equipment and processes. Materials provided are only verified as to cartons, packages, or items shown. The accuracy of quantities indicated are not verified and the Copy Center cannot accept responsibility for shortages based on your supplied materials. Additional costs due to delays or impaired production caused by deficiencies will be charged.
